Hosting a table at a community event can be a powerful way to connect with your community and promote your cause. You’ll meet new people and can use this opportunity to grow your audience!
Your table set up
To create a memorable experience, start by designing an inviting and informative display. Use eye-catching visuals, such as banners and posters, to attract attention and clearly communicate your mission. Stock your table with brochures, flyers, and any relevant materials that attendees can easily browse.
Next, prepare your team to be welcoming and knowledgeable. Train your volunteers or staff to share key messages about your organization in an engaging way. You’ll only have a minute with each guest – so table hosts need to be able to deliver a quick elevator pitch. Encourage them to approach attendees with a friendly smile, initiate conversations, and ask open-ended questions to learn about the visitors’ interests and concerns. A cheat sheet with Frequently Asked Questions (and, their answers) is really helpful for the folks leading the table.
Offer some engagement that resonates with your audience. This could be something as simple as giveaways- branded merchandise, or a small item that relates to your cause. It can also just be candy or water! Free stuff will attract people to your table. You can also consider incorporating interactive elements, like fun game or activity related to your cause, to engage visitors more actively. Keep it simple and do a Wheel-of-Fortune style spinning wheel, a raffle, etc.
Lastly, incorporate a call to action, such as inviting attendees to join your mailing list or participate in upcoming events. Have a sign up sheet or iPad there to capture names + contact information.
FINDING COMMUNITY EVENTS
Finding the right event to host your table can significantly enhance your outreach efforts. Here are some steps to help you locate suitable awareness events:
Research Local Community Calendars: Check online community boards, city websites, and local newspapers for upcoming events. Many communities have calendars that list fairs, festivals, and other gatherings where you might set up a table.
Network with Organizations: Reach out to local nonprofits, community groups, and advocacy organizations related to your cause. They may host events themselves or know of others in the area that are open to table hosting.
Social Media and Event Platforms: Utilize social media platforms like Facebook, Instagram, and LinkedIn to find events. Websites like Eventbrite or Meetup often list local gatherings and can be filtered by interest or cause.
Connect with Schools and Universities: Educational institutions often host health fairs, community service days, or awareness weeks. Contact local schools or universities to inquire about opportunities to set up a table during such events. Especially during the fall, schools tend to host volunteer fairs.
Attend Other Events: Participate in existing events as an attendee. This can give you insight into how similar tables operate and provide networking opportunities to inquire about future events where you can host your own table.
